Job Summary:

This position is responsible for housing and registration for US and Global congresses, the execution of the regional field convention programs for all stakeholders and assist in the execution of DS convention strategies. The person must maintain an awareness of the Daiichi Sankyo corporate image/identity and integrate that into every initiative/tactic that is developed and executed ensuring competitive positioning of Daiichi Sankyo in the Pharmaceutical industry.

Responsibilities:

Assists Convention leads with negotiation of hotel, lodging and meeting space rental contracts that meet approved budgets.

Maintain registration website functionality and content changes, manage communication and housing timelines for all congresses.

Create and distribute weekly housing and registration reports that forecast and analyze hotel data to include potential attrition and other liabilities to appropriate stakeholder.

Assists in managing issues, questions and problems that arise between the assigned accommodations site(s) and client. Proactively responds to requests and inquiries from clients in a timely manner. Troubleshoots all accommodation concerns and issues throughout client events and meetings

Helps maintain schedule of program due dates for housing open/close dates, as well as dates for cancellation and payment due, as well as other key dates.

Maintains accurate and timely reports, including attendee and rooming list

Manage the Field Convention Program. Work with cross- function teams, field leadership, PGC, brand leads, vendor on processes, budget allocation, rep adherence, assess program and recommend improvements. Manage inventory to ensure they are current and compliant. Proactively monitor and analyze programs to best forecast utilization demand to ensure appropriate inventory. Provide monthly/quarterly status reports to include material updates, utilization and budgets and communicate to Manager and business owners. Provide vendor direction for material management including appropriate process to destroy material and add new material.

Budget Management

Tracking approved budgets for regional programs and communicate to stakeholders.
Manage vendor financial reports based on stakeholder needs for accuracy and timelines.

Track program attendance, badge and housing payments. Tasks to include reconciling and monitoring attendee transactions, processing vendor and staff payments and expenses, track and supply receipts when necessary.

Reconcile and allocate housing and registration to appropriate cost centers/project codes

Escalate any deviation of the approved budgets to manager.

Education/Experience:

Qualified candidates must have a bachelor’s degree or commensurate experience

3 years minimum of pharmaceutical industry, Conventions and/or Meeting experience required
Understanding on Pharma guidelines and Federal/State regulations is a plus.
