Job Summary

Daiichi Sankyo is currently seeking a Sr. Meeting Planner. This role is responsible for the management of meetings. This position will work closely with aligned stakeholders for forecasting meeting needs, budget guidance, monitor compliance, influence decisions and provide consultative feedback on the functions meetings. This position will have oversight for our 3rd party vendors supporting their meetings. This position is accountable for ensuring all HCP events/engagements are compliant with our policies including Aggregate Spend. Responsible for the accuracy of the HCP Aggregate Spend data and timeliness associated with the reports including the 100% audit of all HCP engagements. Additionally this position will be responsible for the full planning/managing of meetings.

Responsibilities

Monitoring Compliance – ensuring that those within the functional area who are planning meetings are following the appropriate procedures, policies and that the meeting costs are aligned with the approved budgets. Ensure that HCP meetings are compliant. Educate stakeholders if necessary on the required HCP engagement processes to ensure meetings are compliant and data is accurate

Work closely with the assigned Functions to do annual meeting forecasts for budgeting purposes and quarterly forecasts managing what was budgeted versus planned. In the forecasting processes, the functional areas will be asked to provide goals and objectives of their meetings and the Sr. Planner will provide data to see if these were met on an individual meeting basis. Provide monthly savings/status reports on their meetings

Vendor Management – managing 3rd party meeting planners for their functional area’s meetings. Meet weekly with planners to review meetings in full for all meetings. For large meetings and high touch meetings this position will participate from the time a meeting is requested, to the selection of the venue, weekly planning meetings, budget updates and be onsite, at the meeting when necessary. Responsible for ensuring all data is accurate and captured in meeting management software. Manage and correct errors according to predetermined timelines

Meeting Planning – this position will be responsible for the full meeting planning of functional area meetings/HCP meetings as required. Gather all pertinent meeting information including meeting budget for meetings. Manage and influence site selection, contracting and negotiation process for the meeting venue. Create and manage the timeline for planning the meeting, travel and mange meeting onsite and do final reconciliation, budget and survey reporting to meeting owner

Accountable that all meeting audit folders are complete and 100% accurate. Accountable that HCP spend data is 100% accurate by conducting audit of data and meeting folders
Stakeholder Education and Customer relations – Educating the stakeholder on the Meeting & Events Policies and Procedures. Meet with stakeholders and teams to present the Meeting & Events Department policies, processes and how we can best support their meetings.

Working closely to ensure processes are meeting their objectives and recommending updates to these when necessary, thus re-educating the stakeholders. This position will be the functional area’s main point of contact. This position will need to follow-up on any/all issues to ensure proper actions are taken

Education/Experience

Qualified candidates will have a Bachelor’s degree from an accredited college or university, in Business, Marketing or commensurate experience. CMP – Certified Meeting Professional Designation a plus; a minimum of 4 years in the “Meeting and Events Planning” or “Meeting Management” profession required, with at least 2 years related work in Pharma industry preferred
